Under the direction of the Vice President of Clinical Research and working collaboratively within the Clinical Team at IMV, as an Administrative Assistant you will coordinate and assume responsibility for a variety of administrative functions.


You will be responsible for confidential and time sensitive material and will ensure that day to day administrative tasks are completed accurately and delivered with high quality and in a timely manner. You will be an integral contact for the Clinical Team and support operations in a faced paced, dynamic team environment.


  • Manage scheduling of meetings and appointments with external parties 
  • Aid in the preparation of materials and agendas for internal and external meetings; capture action items, decisions, etc. in a variety of meeting settings
  • Type and proofread correspondence, forms and other documents
  • Manage calendars including scheduling and coordinating travel, speaking engagements and/or conferences
  • Arrange travel schedules and make reservations
  • Handle changing calendars, priorities, and timelines
  • Resolve administrative problems and inquiries
  • Submit and reconcile expense reports
  • Organize and maintain electronic and hard copy filing systems
  • Manage multi-party communications
  • Handle all administrative tasks




  • Post-Secondary diploma in a recognized office administration, business administration or medical office administration
  • Minimum of three (3) years experience related experience in a complex business or health care environment
  • Bilingual in English/French is a plus
  • Extensive computer and software skills, specifically Microsoft Office Suite, SharePoint, Office 365 and MS Teams
  • Ability to work with minimal supervision
  • Ability to act with a high level of integrity, discretion, and confidentiality
  • Excellent verbal and written communication skills
  • Multi-tasking skills and ability to be flexible when priorities shift
  • Excellent organization, time management and attention to detail
